Overview

PACE Supply is seeking a meticulous and proactive Estimating Assistant to join our dynamic Waterworks Division.
 
In this essential support role, you will partner closely with our Estimating Team to drive accuracy, efficiency, and success in bidding and tracking waterworks construction projects—from municipal infrastructure to large-scale water and wastewater systems.As a key contributor, you'll handle critical behind-the-scenes tasks that ensure seamless project coordination, timely vendor engagement, and organized documentation.

Responsibilities

  • Build and maintain strong, trusting relationships with key customers and vendor partners to deliver exceptional service, ensure dependability, gather detailed job information, and secure competitive pricing that supports sales and profitability goals.
  • Proactively source and obtain competitive quotes from vendors for specialty and non-stock items, aligning with project requirements and budget constraints.
  • Obtain, review, and coordinate plan details, specifications, and associated documents from customers and sales staff; distribute them accurately to assigned Estimators.
  • Add and maintain projects on the bidding calendar via Smartsheet for seamless tracking and timely updates.
  • Support the Estimating Team throughout the bidding process and job tracking in Smartsheet, including assisting with quantity takeoffs and building/maintaining templates in PlanSwift.
  • Monitor assigned projects diligently, provide timely alerts on addendums, changes, or updates, and assist in distributing finalized quotes to bidding contractors while meeting all deadlines.
  • Manage and upload all relevant post-bid documentation to Smartsheet—including customer quotes, vendor quotes, takeoff links, bid numbers, customer contracts, bid values, and other tracking details—verifying completeness and accuracy.
  • Assist in acquiring, maintaining, and updating city/county specifications; build and regularly refresh municipal bidding templates in PlanSwift to ensure they remain current and compliant.
  • Participate actively in weekly sales meetings to review market and vendor pricing, bidding activity and strategy, account status, and material requirements.
  • Collaborate closely with the Estimating Team, sales staff, and other internal stakeholders to ensure smooth workflow and alignment on project goals.

Qualifications

  • Education: High School Diploma or GED required.
  • Experience: Minimum of 2 years of experience in plumbing inside sales or plumbing estimating, demonstrating a solid understanding of the industry.
  • Strong verbal and written communication skills; ability to interact effectively, professionally, and clearly with customers, vendors, Estimators, sales staff, and internal teams.
  • Proven ability to manage multiple priorities, multitask, and organize complex projects in a fast-paced, deadline-driven environment.
  • Excellent organizational skills with meticulous attention to detail; commitment to maintaining accurate records, documentation, and tracking information. Proactive, self-motivated, and resilient; able to work independently with minimal supervision, anticipate needs, and handle ambiguity effectively.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint); comfortable using computers and learning new software tools quickly (experience with Smartsheet, PlanSwift, or similar project/estimating software is a strong plus).
